Automate regional cost calculations for multisite clients and eliminate manual effort

Context
With the new Multisite model (a single client with multiple installation sites), the manual Planning Calculation process—used to estimate additional costs by region and system size per site—became unsustainable.
Each calculation took ~15 minutes, and a single multisite client could require 30–50 sites per block, with multiple blocks per contract.
As operations scaled and the team shrank, the manual approach was no longer viable.
Action
During a temporary assignment due to bandwidth constraints, I was tasked with documenting 70 sites—implying a 2.5-day pause in my regular work.
Instead of following the manual process, I identified an opportunity to automate it and built a Retool app that:
Processes multiple calculations (sites/clients) per run using JavaScript
Extracts input data directly from the CRM using SQL
Executes calculations in bulk, replicating a Google Sheets calculator
Uploads results back to the CRM and logs document approvals via APIs
All in a single click
Result
+99% operational efficiency: processing time dropped from hours to seconds.
The solution enabled the Multisite model to scale without increasing team size and became a reference point for automating similar workflows.
